Supplier Invoicing Automation

At Toyota Astra Motor, managing monthly reports for over 30 suppliers was a time-consuming task. Each supplier’s data was kept in one Excel file, with a separate sheet for each. To make things easier, Teman Data built a smart system that turned each sheet into a PDF and emailed it straight to the right supplier.
 

Initially, sending supplier reports was slow and often led to mistakes. Staff had to manually create PDFs from Excel sheets and email them one at a time. This took a lot of effort and made it easy to send the wrong file or repeat a report. Without a way to track deliveries, it was hard to know if suppliers got their reports—causing delays and frustration on both sides.
 

Teman Data built a smart system that matched each supplier’s name to the right Excel sheet. With this setup, the system could automatically create PDF reports and send them to the correct suppliers by email. To keep things accurate, a tracking feature marked each report as “Sent” once delivered. This helped avoid double-sending and gave the team a clear view of who had received what.

The automation took a heavy load off the team’s shoulders. Instead of spending hours on repetitive tasks, staff could count on the system to handle everything smoothly. The process became quicker, more dependable, and ensured suppliers got the right reports on time—every time.
